So, you’ve decided to dive into Power BI, great choice! Despite all the AI hype, Power BI is still in high demand, and with its “self-service” nature, I’ve seen my fair share of, let’s just say, interesting reports. Whether it’s misleading visuals, broken models, or accessibility nightmares, there’s plenty that can go wrong.
That’s why I recently launched a Power BI design mentoring programme focusing on accessibility, and the response has been amazing! It made me realise just how many people are eager to learn but don’t know where to start. With endless free resources, constant updates, and new features popping up left and right, it’s easy to get overwhelmed. I often do!
So, based on my own learning experience, let’s break it down into the essential areas you should focus on. These are the foundations of any good Power BI report. Yes, you’ll need to practice, build a portfolio, and refine your skills over time, but first, you need to understand the core concepts.
Start With the Business Needs
Before you even think about opening Power BI, you need to understand what your report is actually meant to do. Who will be using it? What decisions will it support? What insights matter most?
Microsoft Learn has a fantastic (and free!) guide on defining report requirements: Scope report design requirements – Microsoft Learn. Trust me, skipping this step is one of the biggest mistakes beginners make.
The Four Key Stages of Power BI Development
Now, let’s break down the core skills every Power BI user needs.
1. Preparing the Data
Raw data is often messy, inconsistent, and full of surprises. Before you can create a report, you need to clean and transform your data using Power Query. This includes:
- Removing duplicates and fixing errors
- Transforming formats (dates, numbers, text)
- Combining data from multiple sources
If you’ve ever worked with messy Excel files, you’ll know why this step is so important! If you’re looking to dive deep into Power Query, Power Query How – Home of the M Language is a great resource.
2. Modelling the Data
Once your data is clean, it’s time to structure it properly. This is where relationships come in, think of it like connecting puzzle pieces so your data makes sense. You’ll learn about:
- Creating relationships between tables
- Cardinality (One-to-Many, Many-to-Many)
- Star schema vs. flat tables
Bad modelling = bad reports. Get this right early on, and you’ll save yourself headaches later.
3. Visualising and Analysing the Data
Now for the fun part, building your report! But before you start throwing charts on a page, remember:
- Choose the right visuals for your data
- Keep it simple and avoid clutter
- Make sure it’s accessible (think colour contrast, keyboard navigation, screen reader compatibility)

4. Managing and Securing Power BI
Once your report is built, how do you share it securely? Power BI has different ways to publish and control access, including:
- Power BI Service vs. Power BI Report Server
- Row-Level Security (RLS) to restrict data
- Performance tuning for fast-loading reports

What About DAX?
DAX (Data Analysis Expressions) is what makes Power BI powerful, allowing you to create custom calculations. But fair warning, DAX can be tricky! The best way to learn? Practice, practice, practice.

One of the best ways to improve your design skills is by participating in data challenges. Even if you don’t submit an entry, exploring datasets and studying other people’s work can be a game-changer.

Keep It Simple and Stay Focused
Power BI is an evolving tool, and it’s easy to get distracted by new features and trends. My advice? Master the foundations first. You don’t need to know everything, even experienced Power BI developers are always learning!
And remember, the best way to learn is by doing. So, open up Power BI, experiment, make mistakes, and keep improving.
